Welcome to Pink Vibgyor. These Terms & Conditions ("Terms") govern your participation in our tours, treks, events, group departures, and travel experiences. By booking a trip, event, or service with Pink Vibgyor, you acknowledge that you have read, understood, and agreed to these Terms.

About Pink Vibgyor

Pink Vibgyor is an India-based LGBTQIA+ focused travel community dedicated to creating safe, inclusive, welcoming, and memorable travel experiences. We bring together travelers from diverse backgrounds through curated adventures, cultural journeys, weekend getaways, and group tours.

While our trips are designed with LGBTQIA+ travelers in mind, respectful allies are welcome to join and participate in accordance with our community values.

Eligibility

To participate in our trips and events:​

  • By booking, you confirm that you are physically and mentally capable of participating in the activities mentioned in the itinerary.

  • Participants are responsible for assessing their own fitness level before joining any trek, adventure activity, or physically demanding experience.

  • Pink Vibgyor reserves the right to decline participation if a traveler is unable to meet essential safety requirements.

Booking & Payment

  • All bookings are subject to availability and confirmation.

  • A booking is considered confirmed only after the required payment has been received.

  • Participants must provide accurate personal information at the time of booking.

  • A valid government-issued photo identification is mandatory during travel.

  • Prices include only those services specifically mentioned in the itinerary.

  • Personal expenses, optional activities, shopping, tips, travel insurance, and any services not listed under inclusions are not covered.

Cancellation & Refund Policy

Cancellation requests must be submitted in writing via email.

Refund eligibility and cancellation charges will be governed by the cancellation policy applicable to the specific trip booked.

In general:

  • Cancellations made well in advance may be eligible for a partial refund after deducting applicable charges.

  • Last-minute cancellations may be non-refundable.

  • Processing fees, payment gateway charges, and other non-recoverable expenses may be deducted from refunds..

Participants are advised to review the cancellation policy published for their specific trip before booking.

Trip Modifications & Operational Changes

Travel plans may occasionally require adjustments due to circumstances beyond our control, including:

  • Weather conditions

  • Road closures

  • Government regulations

  • Natural disasters

  • Local restrictions

  • Safety concerns

  • Operational requirements

Pink Vibgyor reserves the right to modify routes, accommodations, transportation, schedules, activities, or itineraries whenever necessary to ensure participant safety and trip feasibility.

Such modifications shall not constitute grounds for compensation or refund.

Additional Costs Due to Unforeseen Circumstances

Any additional expenses arising from circumstances beyond our reasonable control shall be borne by the participant.

These may include:

  • Additional accommodation

  • Extra meals

  • Transportation delays

  • Vehicle breakdowns

  • Flight disruptions

  • Natural calamities

  • Emergency evacuations

  • Government-imposed restrictions

Similarly, any increase in fuel costs, entry fees, permits, taxes, guide charges, or government levies occurring after booking may be charged additionally.

Health, Medical Requirements & Travel Documents

Participants are responsible for:

  • Carrying valid identification documents.

  • Obtaining any required permits, visas, or travel authorizations.

  • Informing us of any relevant medical conditions, allergies, injuries, or dietary restrictions before departure.

By joining our trips, participants acknowledge that outdoor activities, trekking, camping, transportation, and adventure experiences involve inherent risks.

We strongly recommend purchasing comprehensive travel insurance covering medical emergencies, accidents, trip interruptions, and personal belongings.

Community Guidelines & Code of Conduct

Pink Vibgyor is committed to fostering a safe, respectful, and inclusive environment for everyone.

Participants agree to:

  • Respect fellow travelers, local communities, guides, and staff members.

  • Honor individual boundaries and personal identities.

  • Refrain from harassment, discrimination, bullying, intimidation, or offensive behavior.

  • Follow safety instructions provided by trip leaders and local authorities.

  • Respect local customs, laws, and cultural sensitivities.

The following behaviors may result in immediate removal from a trip without refund:

  • Harassment or discrimination.

  • Violent, abusive, or threatening conduct.

  • Illegal activities.

  • Excessive intoxication causing disruption.

  • Any behavior that compromises the safety or comfort of others.

Accommodation & Property Damage

Participants are responsible for maintaining the condition of accommodations, campsites, vehicles, and other facilities used during the trip.

Any damage caused by a participant may result in additional charges payable directly by the responsible individual.

Photography, Videos & Marketing

During trips and events, photographs and videos may be captured for promotional and community purposes.

These images may be used on:

  • Social media platforms

  • Website galleries

  • Marketing campaigns

  • Promotional materials

If you prefer not to appear in photographs or videos, please notify our team before the trip begins, and we will make reasonable efforts to respect your preference.

Liability Disclaimer

Pink Vibgyor acts solely as an organizer and facilitator of travel experiences.

We shall not be held liable for:

  • Personal injury

  • Illness

  • Loss of personal belongings

  • Theft

  • Property damage

  • Travel delays

  • Missed connections

  • Event cancellations caused by third parties

  • Circumstances beyond our reasonable control

Participation in all activities is undertaken voluntarily and at the participant's own risk.

Force Majeure

Pink Vibgyor shall not be responsible for failure to perform its obligations when such failure results from events beyond reasonable control, including but not limited to:

  • Natural disasters

  • Pandemics

  • Epidemics

  • Government restrictions

  • Civil unrest

  • Terrorism

  • Strikes

  • Transportation disruptions

  • Severe weather conditions

In such situations, refunds, credits, or rescheduling options will be handled on a case-by-case basis.

Privacy & Personal Information

Any personal information collected during booking will be used solely for operational, safety, and communication purposes in accordance with our Privacy Policy.

We do not sell or share personal information with unauthorized third parties.

Acceptance of Terms

By making a booking with Pink Vibgyor, you acknowledge that you have read, understood, and agreed to these Terms & Conditions and any additional trip-specific policies provided at the time of booking.
